Setup

Choosing an Email Application

Ü      Open Internet Explorer (web browser)

Ü      View/Internet Options/Programs tab

Ü      For Mail, choose Internet Mail

Ü      If a setup wizard loads, choose Cancel

Ü      Apply/OK

 

Configuration

Configuring the Email Application (Internet Mail)

Ü      Open Internet Explorer (web browser)

Ü      Mail/Options

Ü      Send tab

Ü      Choose to (1) save "sent" items, (2) include message in reply, (3) send messages immediately, (4) make Internet Mail your default email application, and (5) sending format as text only.

Ü      Read tab

Ü      Choose to (1) play sound on delivery, (2) mark "read" after 5 seconds, (3) check for new messages every 10 minutes, and (4) empty "deleted items" on exit.

Ü      Server tab

Ü      Enter the following:  (1) Full name, (2) school name, (3) outgoing server name, (4) incoming server name, (5) account name (for example: westg), and (6) password.

Ü      Signature tab

Ü      Choose Text and type your information in the box provided.

Ü      Apply/OK

 

ò       View/Preview Pane/None (your option)

 

Using Email

Address Book

Ü      In browser, choose Mail

Ü      File/Address Book

Ü      New Contact button:  Add as many contacts (people) as you want

Ü      New Group button:  Create groups and add people to them for mass emailing

Ü      File/Close

 

Create a New Message

Ü      Mail/New Message (or the New Message button)

Ü      TO:  Choose name or group from address book

Ü      CC:  Choose name or group from address book

Ü      Subject:  Enter a descriptive title

Ü      File/Send (or the Send button)

 

Attachments

Ü      Concept:  Receiver must have software that can read the attachment; also, the program must be associated with that type of file

Ü      Sending 

Ü      Mail/New Message and address TO and Subject

Ü      Insert/File Attachment

Ü      Follow path to folder containing the file to attach

Ü      Click filename and Attach button

Ü      See the file icon in the email

Ü      File/Send (or the Send button)

Ü      Receiving 

Ü      Open email containing attachment

Ü      Double-click the attachment icon to open it

Ü      If it will not open:  (1) you don't have the software needed for the file or (2) you must "associate" the file type with the software [My Computer/View/Options/File Types tab]

Ü      Saving 

Ü      Open email containing attachment

Ü      Right-click the attachment icon once

Ü      Choose Save As

Ü      Navigate to the drive and folder (change the file's name if desired)

 

Reply to an Email

Ü      Open email

Ü      Choose Mail/Reply to Author or

Ü      Reply to All sends reply to CC's also

 

Forward an Email to Someone Else

Ü      Open email

Ü      Choose Mail/Forward

Ü      Add names or groups to TO and CC lines

Ü      Type a note, if desired

 

Saving an Email to Diskette or a Folder

Ü      Open email

Ü      File/Save As

Ü      Save As Type:  Text

Ü      Choose drive and folder (change the file's name if desired)

 

Keeping Email Open on Your Taskbar

Ü      Minimize your email window so it sits as a button on the taskbar at the bottom of the screen

Ü      Your mail will be checked as you've indicated (every 10 minutes, for example)

Ü      A tone will sound and an envelope will appear on the taskbar when new mail is delivered

Ü      You can maximize from the taskbar and choose "Send and Receive" any time you like
