POSITION TITLE: Secretary to the Assistant Superintendent for Administration

SUMMARY: Serves as Secretary to the Assistant
Superintendent for Administration. Coordinates other office services and
ensures the smooth and efficient operation of the Administration office.
ESSENTIAL
DUTIES AND RESPONSIBILITIES:
Other duties may be assigned.
̃ Performs
the usual office routines and practices such as receiving incoming calls and
typing reports.
̃ Maintains
an accurate calendar for the Assistant Superintendent.
̃ Schedules
appointments.
̃ Assures
maximum utilization of the office computer.
̃ Maintains
accurate attendance records and evaluation of administration personnel
̃ Maintains
accurate filing system.
̃ Receives
parents and assists when appropriate.
̃ Protects
confidentiality of secure documents under the Assistant Superintendent’s
supervision.
̃ Responsible
for the general appearance and climate of the office.
̃ Responsible
for the efficient operation of the District Xerox machines.
̃ Responsible
for building rentals.
̃ Maintains
accurate books on District Activity Bus operations. Pays all bills as they relate to the Activity Busses. Responsible for getting driver’s pay to the
Business Office. Bills schools
periodically for use of activity busses.
̃ Keeps
an accurate file on students released from the district and students transferring
from one school to another.
̃ Maintains
accurate files on all School Improvement Council representatives.
̃ Collects
all suspension notices from schools and prepares a monthly report.
̃ Maintains
accurate files on all students expelled from the District.
̃ Performs
such other duties consistent with her professional competency as the Assistant
Superintendent may from time to time assign.

QUALIFICATION REQUIREMENTS: To perform this job

EDUCATION
and/or EXPERIENCE:
Associate Degree in Secretarial Science. Minimum
five (5) years successful experience as a secretary. Must be able to deal with
the public and possess bookkeeping skills.
LANGUAGE
SKILLS:
Ability to read, analyze, and interpret general
business periodicals, professional journals, technical procedures or
governmental regulations. Ability to write routine reports and
correspondence. Ability to respond to
common inquiries or complaints from customers, regulator agencies or members of
the business community.
MATHEMATICAL
SKILLS:
Ability to compute rate, ratio, and percent and
to draw and interpret bar graphs.
REASONING
ABILITY:
Ability to define problems, collect date,
establish facts, and draw valid conclusions.
OTHER
SKILLS and ABILITIES:
Ability to pass a District typing test. Ability to operate a personal computer and
related software. Ability to develop
effective working relationships with students, staff and the school community.
Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of
all district requirements and the Board of Education policies.
