POSITION TITLE:    Administrative Assistant to Assistant Supt. - Instruction

            SUMMARY:              Assists and supports the Assistant Superintendent for instruction in planning, organizing, and controlling the information flow relative to the assignments and responsibilities of the instructional division.

           

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

 

Þ      Plans, organizes, and controls the information processing activities of the instructional division and leads the instructional support staff in helping to attain the overall objectives of the district.

Þ      Assists Assistant Superintendent for Instruction in transcribing, drafting, obtaining, gathering, and organizing pertinent data as needed into correct and usable form.

Þ      Assists Assistant Superintendent for Instruction in general instructional matters as well as confidential matters relating to instructional personnel.

Þ      Assumes such scheduling, budget development, and clerical functions including the maintenance of necessary filing systems.

Þ      Reports regularly to the Assistant Superintendent for instruction on any developments or problems within the instructional division that requires his/her attention and/or action.

Þ      Assists in identifying areas in which instructional support staff may be used effectively.

Þ      Assists in developing an effective time management program for the instructional support staff in which all resources, including time are efficiently used in order to achieve important professional and personal goals.

Þ      Serves as liaison between instructional division and district office staff, school principals, parents, and other community groups by assisting in matters relating to instructional programs, procedures, policies, general school administration, etc.

EDUCATION and/or EXPERIENCE:

High School Diploma or GED and 8 years experience; or Associates degree in secretarial science and 4 years experience; or BS degree in business education and secretarial science. Must be able to effectively deal with the public and staff both in person and on the phone.

 

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak and present effectively before vendors, administration and staff.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to calculate figures and amounts such as discounts, interest, and commission.

 

REASONING ABILITY:

Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

 

OTHER SKILLS and ABILITIES:

Must pass a district typing test. Ability to develop effective working relationships with staff and the school community. Ability to communicate clearly and concisely.  Ability to perform duties with awareness of all district requirements and the Board of Education policies.

Specific vision abilities required by this job include close vision. Employee must be able to distinguish where a sound is coming from. The employee frequently communicates through speech.
