POSITION TITLE: Case Management - Secretary III

SUMMARY: Provides quality support for the Director of
Case Management and to relieve the above administrator of paper work so that
maximum attention may be devoted to central problems of case management.
ESSENTIAL DUTIES AND
RESPONSIBILITIES:
Other duties may be assigned.
Þ Transcribes
and corrects various correspondence, reports, notices and recommendations
related to the instructional programs (elementary and secondary).
Þ Duplicates
materials as necessary for inservice programs conducted by the Director of Case
Management.
Þ Performs
the usual office routines such as maintaining a regular filing system,
transcription, typing correspondence, reports, notices, and recommendation
forms.
Þ Processes
incoming correspondence as instructed.
Þ Places
and receives telephone calls and records messages.
Þ Orders
and maintains office supplies for Director of Case Management.
Þ Orders,
receives and distributes instructional supplies for Case Management personnel.
Þ Performs
bookkeeping tasks associated with the position.
Þ Maintains
a schedule of appointments and makes arrangements for conferences and
interviews.
Þ Obtains,
gathers, and organizes pertinent data as needed, and puts it into usable form
for the Director of Case Management.
Þ Promptly
and thoroughly completes assignments and attends to details accurately and
efficiently.
Þ Performs
other duties as deemed necessary by the Director of Case Management.

EDUCATION
and/or EXPERIENCE:
Associate Degree in Secretarial Science. Must be able to pass District typing
test. Three years as a secretary. Must be familiar with the use of the
Dictaphone, electric typewriter, personal computer, 10-key adding machine,
Xerox machine and laminating machine. Must be able to effectively deal with the
public, staff, and students both in person and on the phone.
LANGUAGE
SKILLS:
Ability to read and interpret documents such as
safety rules, operating and maintenance instructions and procedure manuals.
Ability to write reports, business correspondence, and procedure manuals. Ability to present information in one-on-one
and small group situations to customers, clients, other employee and/or
students. Ability to respond to common inquiries or complaints from customers,
regulatory agencies or members of the business community.
MATHEMATICAL
SKILLS:
Ability to calculate figures and amounts such as
discounts, interest, commissions, proportions, percentages, area,
circumference, and volume. Ability to apply concepts such as fractions,
percentages, ratios, and proportions to practical situations.
REASONING
ABILITY:
Ability to deal with problems involving a
variety of concrete variables in standardized situations. Ability to define
problems, collect data, establish facts, and draw valid conclusions.
OTHER
SKILLS and ABILITIES:
Ability to pass a District typing test. Ability to develop effective working
relationships with students, staff and the school community. Ability to
communicate clearly and concisely.
Ability to perform duties with awareness of all district requirements
and the Board of Education policies.
