POSITION TITLE: Community Services Secretary
Department: Superintendent
Reports
To: Coordinator for Community
Services
SUMMARY: Assists Community Services Coordinator in the
implementation of public information and public relations programs and
activities.
ESSENTIAL
DUTIES AND RESPONSIBILITIES:
Other duties may be assigned.
Þ
Publishes and distributes all district publications
within the district and to parents and the greater community. Duties include creating, designing, preparing
specifications for bidding and working with printers.
Þ
Assists in planning special events and
group meetings assigned by the Coordinator for Community Services.
Þ
Assists the Coordinator for Community
Services in coordinating the Teacher of the Year Program and the Greenwood
School District 50 First-Year Teacher Award Program.
Þ
Assists the Coordinator for Community
Services in coordinating employee recognition program including service
recognition.
Þ
Prepares list of school activities and assists
in planning Board reception recognizing Teachers of the Year during American
Education Week.
Þ
Assists in planning reception for
retiring personnel. Orders gifts, prepares certificates, sends invitations,
etc.
Þ
Promotes Teacher Appreciation Week.
Þ
Provides responses to inquiries for
information from the public and other departments.
Þ
Maintains Gold Card Club register and
Complimentary Events Passes.
Þ
Photocopies and distributes regularly
materials, such as newspaper articles on educational topics.
Þ
Assists Community Services Coordinator and
Director of Staff Development in organizing and implementing annual New Teacher
Welcome and the Districtwide Inservice.
Þ
Maintains an up-to-date list of all
community agencies and organizations.
Þ
Maintains a separate current file on
emergency procedures, inclement weather, media contacts, supplies, etc.
Þ
Assists with photographing district
events.
Þ
Assists Community Services Coordinator
with the
Þ
Updates recognition board in Board Room
regularly.
Þ
Assists the Coordinator for Community
Services in implementing Board Appreciation activities.
Þ
Assists the Coordinator for Community
Services with monthly Board recognitions, certificates and correspondence.
Þ
Assists the Coordinator for Community
Services in preparing PowerPoint presentations for the Board, Superintendent
and Cabinet.
Þ
Assists the Coordinator for Community
Services in coordinating the BEST Volunteer Program.
Þ
Performs routine clerical duties
including correspondence, filing, budgets, and recordkeeping.

EDUCATION
and/or EXPERIENCE:
High school diploma or G.E.D. and four years
experience; Associate Degree in Secretarial Science and one year experience; or
BS Degree in Business Education and Secretarial Science. Computer experience
necessary. Must be able to deal with the public.
LANGUAGE
SKILLS:
Ability to read and interpret documents such as
safety rules, operating and maintenance instructions and procedure manuals.
Ability to write speeches and articles for publication in a variety of formats
or styles. Ability to effectively
present information and respond to questions from groups of administrators,
managers, employees, clients, customers and members of the business community.
MATHEMATICAL
SKILLS:
Ability to add, subtract,
multiply, and divide in all units of measure, using whole numbers, common
fractions and decimals.
REASONING
ABILITY:
Ability to deal with problems involving a
variety of concrete variables in standardized situations.
OTHER
SKILLS and ABILITIES:
Ability to pass a District typing test. Ability to operate a personal computer and
related software. Ability to use
Microsoft Office applications. Ability
to develop effective working relationships with students, staff and the school
community. Ability to communicate clearly and concisely, both orally and in
writing. Ability to perform duties with
awareness of all district requirements and the Board of Education
policies. Ability to schedule flexible
work hours and to prioritize and carry out a variety of responsibilities. Ability to proofread and correct drafts of
all publications, correspondence, etc.
