Position Description

 

POSITION TITLE:    Secretary II - Elementary Education

            SUMMARY:  Provides quality support for all instructional programs and to relieve the Director for Elementary Education of paper work so that maximum attention may be devoted to central problems of education and educational administration.

           

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

 

Þ      Transcribes to correct form various correspondence, reports, notices, and recommendations related to elementary programs.

Þ      Assists in gathering, organizing, verifying and maintaining all pertinent date/information as needed to maintain and update all records for students instructed at home.

Þ      Notifies appropriate school personnel about approval status for students instructed at home.

Þ      Notifies parents about the status of their child's placement in the child development program and the Director of Transportation about each child's transportation needs.

Þ      Maintains budgets and processes requisitions associated with Act 135.

Þ      Orders office and teaching supplies, instructional materials and equipment as needed for Act 135 funded programs and programs funded through state grants.

Þ      Maintains a regular filing system, as well as any confidential files, and processes incoming correspondence or other data as instructed.

Þ      Duplicate/photocopies forms and reports for instructional use by instructional specialists, guidance counselors, related arts, and child development teaching staffs and for inservice programs conducted by the director of elementary education and kindergarten.

Þ      Assists in maintaining receipts and monies for elementary report cards.

Þ      Assists in gathering, organizing, and distributing information and materials related to Terrific Kids program.

Þ      Maintains current copy for changes of major documents such as curriculum guides, diagnostic tests, academic performance standards, etc.

Þ      Assists with textbook adoptions at the elementary level.

Þ      Places and receives telephone calls and records messages for the director of elementary education.

Þ      Welcomes visitors and arranges for their comfort.

EDUCATION and/or EXPERIENCE:

High School Diploma or GED and 4 years experience; or AA Degree in secretarial science and one year experience; or BS degree in business education or secretarial science. Must be able to effectively deal with the public and staff both in person and on the phone.

 

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write simple correspondence. Ability to present information in one-on-one and small group situations to customers, clients, other employees and/or students.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.

 

REASONING ABILITY:

Ability to deal with problems involving a variety of concrete variables in standardized situations.

 

OTHER SKILLS and ABILITIES:

Valid SC Driver's License. Ability to develop effective working relationships with staff and the school community. Ability to communicate clearly and concisely.  Ability to perform duties with awareness of all district requirements and the Board of Education policies.
