Position Description

 

POSITION TITLE:    Scheduling Secretary - Clerk IV

ESSENTIAL DUTIES AND RESPONSIBILITIES. Other duties may be assigned.

 

Þ      Assists with Master Schedule by completing input sheets, tallying class loads, and maintaining scheduling file.

Þ      Processes schedules, makes disposition of schedules to counselors, typing all schedules not entered on computer and assists with registration.

Þ      Types all memos, letters, and reports as requested by administration.

Þ      Types and makes copies of Program of Studies and distributes them.

Þ      Distributes materials to Middle Schools for upcoming 9th graders including Program of Studies and Registration forms.

Þ      Updates and forwards BEDS and load reports to Department of Education.

Þ      Files student insurance claims.

Þ      Files Workers Compensation claims and reports.

Þ      Calls substitute teachers and completes weekly report.

Þ      Assists with graduation.

Þ      Handles school property inventory.

Þ      Orders Chapter II material and maintains inventory.

Þ      Handles remedial inventory for Math Lab and English/Math Remedial classes.

Þ      Keeps updated files for all students on computer.

Þ      Assists with summer school.

Þ      Assists with eligibility.

Þ      Handles arrangements for College Night.

Þ      Keeps an absence report for staff and faculty on computer.

Þ      Makes ID cards for new students,

Þ      Prepares reports as required by the District Office and State Department of Education.

Þ      Updates job descriptions annually, checks teacher's files for certificate expiration date, and files credit for courses needed for new certificates.

EDUCATION and/or EXPERIENCE:

High School Diploma or GED. Must be able to effectively deal with the public and staff both in person and on the phone.

 

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively present information and respond to questions from groups of administrators, managers, employee, clients, customers and/or the general public.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plain and solid geometry and trigonometry.

 

REASONING ABILITY:

Ability to define problems, collect data, establish facts, and draw valid conclusions.

 

OTHER SKILLS and ABILITIES:

Ability to develop effective working relationships with staff and the school community. Ability to communicate clearly and concisely.  Ability to perform duties with awareness of all district requirements and the Board of Education policies.
