Position Description
POSITION TITLE: Secretary II - Secondary Education

SUMMARY:
Provides quality support for all instructional programs and to
relieve the Director for Secondary Education of paper work so that maximum
attention may be devoted to central problems of education and educational
administration.
ESSENTIAL DUTIES AND
RESPONSIBILITIES:
Other duties may be assigned.
Þ
Transcribes
to correct form various correspondence, reports, notices, and recommendations
related to secondary programs.
Þ
Assists in
gathering, organizing, verifying and maintaining all pertinent date/information
as needed to maintain and update all records regarding students served in
secondary programs funded through local/state, or federal funds.
Þ
Performs
bookkeeping tasks associated with EIA funded programs and specially funded
grants.
Þ
Orders
office and teaching supplies, instructional materials and equipment as needed
for Act 135 funded programs and programs funded through state grants.
Þ
Maintains a
regular filing system, as well as any confidential files, and processes
incoming correspondence or other data as instructed.
Þ
Duplicate/photocopies
forms and reports for instructional use by instructional specialists, guidance
counselors, related arts and for inservice programs conducted by the director
of secondary education.
Þ
Maintains
current copy for changes of major documents such as curriculum guides,
diagnostic tests, academic performance standards, etc. for grades six through
twelve.
Þ
Assists
with textbook adoptions at the secondary level.
Þ
Places and
receives telephone calls and records messages for the director of secondary
education.
Þ
Welcomes
visitors and arranges for their comfort.

QUALIFICATION REQUIREMENTS: To perform this job

EDUCATION
and/or EXPERIENCE:
High School Diploma or GED and 4 years
experience; or AA Degree in secretarial science and one year experience; or BS
degree in business education or secretarial science. Must be able to
effectively deal with the public and staff both in person and on the phone.
LANGUAGE
SKILLS:
Ability to read and interpret documents such as
safety rules, operating and maintenance instructions and procedure manuals.
Ability to write reports and business correspondence. Ability to present
information in one-on-one and small group situations to customers, clients,
other employees and/or students.
MATHEMATICAL
SKILLS:
Ability to apply concepts such as fractions,
percentages, ratios, and proportions to practical situations.
REASONING
ABILITY:
Ability to interpret a variety of instructions
furnished in written, oral, diagram, or schedule form.
OTHER
SKILLS and ABILITIES:
Ability to develop effective working
relationships with staff and the school community. Ability to communicate
clearly and concisely. Ability to
perform duties with awareness of all district requirements and the Board of
Education policies.
