POSITION TITLE:    Secretary II – Testing/Gifted and Talented                                        

 

            Department:      Instruction

            Reports To:      Testing/Gifted and Talented Coordinator

           

            SUMMARY:  Provides quality support for the testing/gifted and talented program and assists and relieves the Testing/Gifted and Talented Coordinator of paper work and impediments so that maximum attention may be devoted to central issues of assessment, data, education and educational administration.

           

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

 

Þ      Supports all activities in the office which coordinates gifted and talented programs, state and local testing program.

Þ      Ability to operate efficiently and effectively in a multitasking environment.

Þ      Transcribes and creates various correspondence, reports, notices and recommendations related to the Testing/Gifted and Talented.

Þ      Notifies appropriate school personnel about approval status for gifted and talented services.

Þ      Notifies parents about the status of their child’s placement in the gifted and talented programs.

Þ      Duplicates/photocopies Testing/Gifted and Talented forms, reports and other documents.

Þ      Maintains a vertical and electronic filing system, and processes incoming correspondence or other data as instructed.

Þ      Maintains confidentiality.

Þ      Places and receives telephone calls and records messages testing/gifted and talented coordinator.

Þ      Maintains a schedule of appointments and makes arrangements for conferences and interviews.

Þ      Welcomes visitors and arranges for their comfort.

Þ      Maintains budgets and processes requisitions associated with Testing/Gifted and Talented program.

Þ      Maintains current copy for changes of major documents such as GT brochure, GT referral, pacing guides, etc.

Þ      Orders office and teaching supplies, instructional materials and equipment as needed by the Testing/Gifted and Talented staff.

Þ      Receives, verifies, stamps and distributes incoming shipments of office supplies, instructional materials and equipment.

Þ      Maintains inventory of office and teaching supplies, instructional materials, and equipment.

Þ      Assists in organizing data (testing results, other pertinent student information) needed for Testing/Gifted and Talented.

Þ      Assists in gathering, organizing and verifying data (assessment results, performance, gifted and talented eligibility status, etc.) needed to maintain and update all records regarding students assessed and/or served in the Gifted and Talented program.

Þ      Assists in gathering, organizing and verifying data (assessment results, performance, etc.) needed to maintain and update all records regarding all assessment instruments and all students assessed with those instruments.

Þ      Notifies appropriate school personnel and parents concerning approval status of referrals for the Gifted and Talented program.

Þ      Receives, inventories, and ships testing materials in a secure and confidentially manner.

EDUCATION and/or EXPERIENCE:

High School Diploma or GED and 4 years experience; or AA degree in secretarial science and one year experience; or BS degree in business education or secretarial science. Must be able to effectively deal with the public and staff both in person, through technology, and on the phone.

 

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write routine reports and correspondence. Ability to present information in one-on-one and small group situations to customers, clients, other employees and/or students.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

 

REASONING ABILITY:

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Ability to inventory, organize, and sort testing materials, data, reports, and summaries.

 

TECHNOLOGY ABILITY:

Ability to work with various computer software packages as needed.

 

OTHER SKILLS and ABILITIES:

Ability to develop effective working relationships with staff and the school community. Ability to communicate clearly and concisely.  Ability to perform duties with awareness of all district requirements and the Board of Education policies.
