Position Description

 

POSITION TITLE:    Secretary to Director of Staff Development and Evaluation

            SUMMARY:  Serves as Secretary to the Director of Staff Development and Evaluation. Coordinates other office services and ensures the smooth and efficient operation of the Staff Development and Evaluation office.

 

            ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

 

Þ    Maintains up-to-date records on staff development budget and provides a monthly report.

Þ    Receives telephone calls, records messages, and handles routine matters for Director of Staff Development and Evaluation.

Þ    Prepares written communication to be disseminated to individual schools for inservice/workshops.

Þ    Performs related duties for proper maintenance of staff development activities and/or school-related activities for the Office of Staff Development and Evaluation.

Þ    Prepares written communication for first year teacher induction program.

Þ    Prepared and disseminates necessary communications for Greenwood 50's responsibilities in Staff Development Network of the Greenwood Consortium.

Þ    Processes all incoming and outgoing staff development correspondence on a daily basis.

Þ    Maintains recertification point records of all staff development activities for all teachers and administrators.

Þ    Orders and maintains supplies/materials.

Þ    Completes necessary paperwork for PET sessions.

Þ    Processes requisitions for district staff development budget.

Þ    Maintains updated filing system.

Þ    Types all reports, projects, memos, forms, etc. for functions of staff development office.

Þ    Maintains up-to-date computer records on workshop attendance for all certified employs.

Þ    Maintains accurate records on other budgets under the direct of the Staff Development Office.

Þ    Assists Director with duties necessary for various perservice activities (i.e. administrative inservice, new teacher orientation, support staff breakfast, district-wide inservice.

Þ    Develops and maintains training materials and orientation material packets for the district's employee evaluation program and procedures.

Þ    Maintains adequate records for all employee evaluation results.

Þ    Assists with research activities and projects regarding employee job performance.

Þ    Assists with compilation of operational statistics and gathers data required by the office of Staff Development and Evaluation.

Þ    Assists with the correspondence of support applicants such as follow-up letters and indexing and filing the support applications.

Þ    Answers routine questions either by phone or letter without supervision.

Þ    Maintains schedule of meetings, conferences, and interviews; schedules accommodations for meeting and visitors either in-house or off premises.

Þ    Performs necessary bookkeeping tasks as required.

Þ    Maintains files and data necessary for reports as imposed by Federal/State agencies.

Þ    Processes incoming and outgoing correspondence on a daily basis.

Þ      Scans and scores Learning Styles Inventory Answer Sheets for the schools.

EDUCATION and/or EXPERIENCE:

High school diploma or G.E.D. and four years experience; Associate Degree in Secretarial Science and one year experience; or BS Degree in Business Education and Secretarial Science. Must be able to deal with the public and possess bookkeeping skills.

 

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence.  Ability to speak effectively with other employees and/or students or members of the business community.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.

 

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

.

 

OTHER SKILLS and ABILITIES:

Ability to pass a District typing test.  Ability to operate a personal computer and related software.  Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing.  Ability to perform duties with awareness of all district requirements and the Board of Education policies.
