POSITION TITLE: Transportation Secretary

SUMMARY: Serves as Secretary to the Supervisor of
Transportation.
ESSENTIAL
DUTIES AND RESPONSIBILITIES:
Other duties may be assigned.
Þ Prepares
all memos, letters, and reports as requested by transportation.
Þ Completes
and makes copies of all forms required by transportation.
Þ Prepares
letters to be mailed to parents of each Kindergarten and Special Education
student.
Þ Prepares
Kindergarten and Special Education rosters for each route.
Þ Maintains
a file for Special Education request slips sent from the District Office.
Þ Prepares
time sheets for each driver for each 20-day pay period and enters the driving
time daily. Uses substitute driver list
to process driver time sheets daily.
Þ Maintains
a file for each driver with pertinent information.
Þ Prepares
supply requisitions as needed.
Þ Prepares
and makes copies of student rosters for Bus Driver Training and Safety Meetings
as required.
Þ Maintains
a discipline notice file on all students by school and all bus drivers.
Þ Prepares
and sends requests for extra-curricular trips to the appropriate offices.
Þ Prepares
all necessary reports for District and State offices for payroll.
Þ Prepares
and balances monthly bus report each 20 days.
Þ Prepares
new ledger sheet for each new driver.
Þ
Maintains Intent to Employee file on each bus
driver and mails W-2 forms.
Þ Maintains
a file on all route descriptions and makes a copy of each for the State.
Þ Answers
the telephone, takes messages and handles complaints when possible.
Þ Keeps
form needed for filing insurance for students injured on the bus.
QUALIFICATION
REQUIREMENTS: To perform this job successfully, an individual must be able to

EDUCATION
and/or EXPERIENCE:
High school diploma or general education degree
(GED). Two years secretarial
experience.
LANGUAGE
SKILLS:
Ability to read and comprehend simple
instructions, short correspondence and memos.
Ability to read and interpret documents such as safety rules, operating
and maintenance instructions and procedure manuals. Ability to write reports,
business correspondence, and procedure manuals. Ability to respond to common inquiries or complaints from
customers, regulator agencies or members of the business community.
MATHEMATICAL
SKILLS:
Ability to compute rate, ratio, and percent and
to draw and interpret bar graphs.
REASONING
ABILITY:
Ability to add, subtract, multiply, and divide
in all units of measure, using whole numbers, common fractions, and decimals.
Ability to define problems, collect date, establish facts, and draw valid
conclusions.
OTHER
SKILLS and ABILITIES:
Ability to pass a District typing test. Ability to operate a personal computer and
related software. Ability to develop
effective working relationships with students, staff and the school community.
Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of
all district requirements and the Board of Education policies.
