Position Description
POSITION TITLE: Records Management Clerk
Department: Business/Human Resources
Reports To: Financial Coordinator
SUMMARY:
Assists Business and Human Resources with information management programs for
the district. This individual also acts
as liaison and training facilitator to both the Business and Human Resources
departments with regard to electronic records management.
ESSENTIAL
DUTIES AND RESPONSIBILITIES.
Other duties may be assigned.

Makes
the decisions on the protection, maintenance, retrieval, and destruction of the
district’s public records.

Plans
and directs the district’s imaging program.
̃
Scans
sensitive information for digital record file.
̃
Ensures
that proper security is given to individual users of the imaging system.
̃
Ensures
that historically and permanently valuable records are protected.
̃
Ensures
that the record retention schedule is maintained.
̃
Responsible
for compliance with any applicable district, state or federal laws regarding record
retention.
̃
Attends
workshops and conferences to gain better knowledge and understanding of record
retention.
̃
Determines
with approval of the Financial Coordinator the schedule of work.
̃
Identifies
and develops long-range goals for the position.
̃
Verifies
that all required documents are available for viewing.
̃
Works
collaboratively with all users to ensure proper flow of documents and any
training necessary to operate the system.
̃
Stays
abreast of new technology that will enhance the records management system.
̃
Performs
such other tasks and assumes such other responsibilities as the Financial Coordinator
may from time to time assign.

EDUCATION
and/or EXPERIENCE:
High School Diploma
College or business school courses
preferred.
LANGUAGE
SKILLS:
Ability to read, analyze and interpret
general business periodicals, professional journals, technical procedures or
governmental regulations. Ability to
write speeches and articles for publication that conform to prescribed style
and format. Ability to respond to common
inquires or complaints from customers, regulatory agencies or members of the
business community. Ability to
effectively present information to administrators, top management, public
groups/community, and Board of Education.
MATHEMATICAL
SKILLS:
Ability to work with mathematical concepts
such as probability and statistical inference, and fundamentals of plain and
solid geometry and trigonometry.
REASONING
ABILITY:
Ability to define problems, collect data, establish facts, and draw valid conclusions.
OTHER
SKILLS and ABILITIES:
Ability to apply knowledge of current
research and theory in specific field. Ability to develop effective working
relationships with the community, staff and students. Ability to communicate
clearly and concisely both in oral and written form. Ability to perform duties with awareness of
all district requirements and the Board of Education policies.

perception. The employee must be able to hear the difference between bells,
buzzers, beeps, horns, etc. The employee frequently communicates through
speech.
