1.
Sample document with special
characters in formatting 2.
You will usually need to search-and-replace special characters when
you are trying to re-format a Word document (or part of a Word document). 3.
The special characters you will usually want to replace are paragraph
markers and tab markers. You can see
those special characters by clicking the Show/Hide button. 4.
You may need to use a special character to hold the place of other
special characters in the search-and-replace process. We will use the “pipe” character for that
purpose (the “pipe” character is typed with <SHIFT>+<BACKSLASH>
and looks like a vertical dash}. 5.
Open your Word document in which you need to do a search-and-replace
for special characters. 6.
Click Show/Hide button (the “dingbat” button) on the Word toolbar to
show all the special characters in the document. 7.
Click Edit/Replace on the Word menu bar. This opens the Find and Replace dialog box. 8.
Click the More button in that dialog box. That expands the dialog box to give you
several options. 9.
To replace all the paragraph markers in your document with the letters
“PGF,” click in the Find What line to place your cursor. 10. Click the Special button in the
dialog box. Choose “Paragraph Mark”
from the list of special characters.
You will see “^p” entered on the Find What line. 11. Click in the Replace With line and
type “PGF” (without the quotation marks). 12. Click the Replace All button. Respond to whatever prompt appears. 13. Check your document to see that
all paragraphs are gone and PGF shows up where paragraphs should end. 14. Click the Special button again and
take note of all your options for replacing special characters in a Word
document (see the figure below). |
